Vice President’s Staff Meeting Minutes

Agenda Items:

Tracking VPTS for DE 2014: Sue Cochrane. 

Sue said that the dual enrollment department is gearing up for a VCCS audit by doing an audit of every single dual enrollment student’s file. Sue said that is 1,274 files that encompass Early College, Homeschool, high school students taking classes here, and students taking CVCC classes at the high schools. She said that she is going through all of those files to make sure all of the necessary paperwork is there. Looking forward, Sue wanted to know how we will track and make sure all dual enrollment students take and pass both the English and the math placement tests to make sure they are in compliance. Will said that Sue needed to have a meeting with Julie Loving, Kevin Riley, and Judy Graves to come up with a form that shows exactly what is needed for each dual enrollment student so none of them slip through the crack. After that meeting has happened and the form has been created, Will said that the counselors would need to be briefed and given the form. Kimberly told Sue that she needs to attend the meeting with all the counselors, both CVCC and all area high schools, to make sure everyone is getting the same information.

Books for spring semester: Mike Fein.

Mike said that Will asked him to brief everyone on how many of the reserved textbooks have gone out. He said that 137 textbooks have been circulated since August 21st and the most checked-out book was Calculus.
Customer Service Training: Mike Fein. Will said that Dr. Capps sent out an email to all Vice Presidents to find out who has attended the Customer Service Training and who is signed up. Will handed out a list of those who have attended and are signed up to the supervisors in the room. Will said that for anyone who has not attended or signed up, the supervisors need to remind their employees that this training is mandatory.  

Spring Schedule: Will Sandidge.

 Will asked the Deans if they have all of the classes in the spring schedule. Since most of the Deans were out, he told their representatives to make sure that all classes are in for the spring schedule before it goes online.

2nd 8-week classes, Fall Semester: Will Sandidge.

Will said a lot of classes were put in for 2nd 8-week classes for the fall semester, but the problem was that they were put in after the semester began. He said for the spring semester, the Deans need to put the 2nd 8-week classes in when the schedule goes out so they are in early instead of adding them in later.

Employee Campaign: Will Sandidge.

Will said that he thinks this is a good initiative and he hopes everyone can contribute because it really makes a difference in people’s lives.

Non-Agenda Items:
  • Will said that he sent out an email today from Leticia to all of the supervisors to make sure that all of the classified evaluations are in. Will asked that they be finished and submitted to Human Resources by this Friday.
  • Jeff said that they will be reviving the Electrical program. Will asked him to notify all Deans, Off-site Center Directors and present it at the Counselors’ Meeting.
  • Will also mentioned that there are two curriculums waiting for VCCS approval – Nuclear, which is replacing the Technical Studies Nuclear program, and Computer Electronics & Technology.
  • Will asked Kimberly to look into taking her HELP classes to the off-site centers because he thinks that some of them would be real relevant for those students. Will also asked Kimberly to brief everyone about her online advising. She said that she does online advising through Skype four days a week – on Tuesdays and Thursdays from 3-4pm and Wednesdays and Fridays from 9-10am. Kimberly said that she can either do a video call with the students or chat with them and it has been going really well.
Will asked if there were any other items to discuss and since there were none, he dismissed the meeting.
