Kris Ogden announced Jessica Hogan had contacted her to say she had another conflict and would not be able to attend today’s meeting.
The meeting was called to order by Elizabeth Elam. Kathy Thomas made the motion to call the meeting to order, and Ernie Wade second the motion.
Meeting Minutes from the September 1, 2020 meeting:
Elizabeth asked if there were any changes to the meeting minutes from September 1, 2020. There were no proposed changes. Cynthia Deutsch made the motion to approve the minutes, and Kris Ogden seconded the motion. The motion was unanimously approved.
Timeline and Questions for the IOTA Student Course Evaluation Process:
Kris Ogden announced she had attached information for the student course evaluations to the invite. She would like for the committee to look at the CVCC Fall 2020 CCAP (Client Communication and Action Plan) from IOTA Solutions. We implemented the student course evaluations process in 2014. Her office would query the data each semester and were required to provide feedback. Due to the pandemic situation, it was decided by the Faculty Association and Associate Vice Presidents that it would be unfair to evaluate the faculty. A series of questions were created by the Faculty Association, Jim Tuite, Muriel Mickles, and the Associate Vice Presidents. The results were accessed by the participation rates. Any changes made to the courses; it changes the process. They used only online courses for the summer semester. Kris shared the timeline on the CCAP spreadsheet showing start and end dates. Last year dual enrolled evaluations were added, but due to the dates not being the same as the college’s dates they are now separate. You will notice there is no data on the spreadsheet for high school dual enrollment.
Ernie Wade asked Kris what the timeframe for the evaluations was and suggested to extend the timeline. Kris stated it was shorter for 8-weeks classes than the 16-week classes. For the 16-week classes, it is not quite two weeks. It would start December 2 and go through December 14. Ernie asked how students knew about the evaluations and Kris stated they received multiple reminder emails from IOTA. Kris was concerned about extending the deadline due to the students completing the evaluations after they received their final grade. Elizabeth also thought it was important to get the evaluations before students received their grade due to the fact it could influence their responses.
Cynthia Deutsch suggested using Navigate to help remind the students and asked if the student could receive reminders by text. Kathy Thomas mentioned a lot of students did not check their CVCC email. Kris stated that it could be done internally, and she would reach out to Michael Farris and see if that was possible. She also stated the best incentive would be reminders from the instructors.
Kris announced she appreciated the opportunity to discuss this with the committee and if anyone had any suggestions to improve this process, please let her know. Cynthia told Kris the process looked great and Kathy also commented how she like the process.

Jason Ferguson made the motion to adjourn the meeting, and Muriel Mickles seconded the motion. The motion was unanimously approved, and the meeting ended at 1:30 p.m.
